Job Description:

The HR Administrator, HR Operations, maintains day to day the HR systems and practices that enable HR to run efficiently and effectively. The HR Administrator should be able to manage sensitive and confidential information and serves as a back up to the HR Coordinator.

Learn on the job. We are looking for someone who is hungry to learn the use of systems and the underlying HR business processes they automate. The candidate for this job does not have to have proven experience in HR systems or in HR. Rather, we are looking for someone who has a "growth mindset" and has a track record of learning and getting good at new things, especially things that involve technology. And, you will get to learn from your new manager, the Senior Manager of HR Technology and Operations (Senior Manager).

Major Duties And Responsibilities

Maintain and update established functionality in our various systems. HR works with different systems such as Kronos/UKG Dimensions for time and attendance, Workable for application tracking, and Workday for HR information, among others. As key processes such as performance management or open enrollment are kicked off the HR Administrator readies these functionalities to launch. More complex configuration will be done by the Senior Manager. The HR Administrator also trouble shoots issues in all of our systems and escalate more complicated matters to the Senior Manager.

MyHR and ticketing system governance. The HR administrator will set rules for the MyHR inbox with the HR team so that they can respond to employee and manager requests efficiently and effectively. We will eventually move this over to a ticketing system. The HR administrator will ensure that folders are set up properly and issues around how we use the system are resolved.

Manage various technology services provided by our vendors. HR has many vendors that provide key services such benefits (Kaiser, HealthNet, IGOE, etc.), employee engagement (Gallup, Energage), training (CalChamber, Relias), and compliance with state background check requirements (Guardian), among others. The HR Administrator will manage and maintain these systems, such as adding and deleting users, defining roles and permissions, troubleshooting, and launching trainings and surveys, among other tasks. Partner with IT to ensure these services are enrolled in OKTA, our single sign on service.

Systems training. The HR Administrator, along with the Senior Manager, will create content (or collect content from other sources) and train fellow HR members, staff and managers on the use of our various systems and the technology services provided by vendors. Also, the HR Administrator will recruit and maintain a corps of super users for our different technologies and services to test and help train or answer others' questions.

Metrics reporting and analysis. HR provides regular and ad hoc metrics, reports, and analysis. The HR Administrator will create or update these metrics, reports, and analysis.

Compliance & Reporting. HR must provide reporting and proof of compliance on various requirements. HR Administrator is responsible for the following but not limited to
Affordable Care Act (Obamacare) compliance
Bureau of Labor Statistics Reporting
Reporting for 5500s and non-discrimination testing for our health and welfare plans
Summary of Annual Reports (SARs)
EEO-1 and CA Pay Data
Other reporting (such as Kronos & S2 reports)

Tracking and Submitting to Payroll . HR must track various items that eventually feed into payroll. These include the following:
Manage matching spreadsheets, uploads, and merit letter production for our merit cycles
COVID compassion bonus
Welcome and referral bonuses

Bills . Code and submit for approval and payment on a timely basis for benefit and other billing and subscriptions for all locations. Check the unemployment website, validate, and produce the bills. Ensure that contracts are archived and current.

HR Calendar and Timeline Management . The HR administrator will maintain the HR calendar of key processes and tasks that need to be done and ensure that it is followed. As needed, the HR administrator will develop specific timelines for processes such as merit and open enrollment.

High School diploma or equivalent required; prefer Associates Degree or equivalent work experience
Demonstrated high level of proficiency in Microsoft Outlook, Word, Excel, and PowerPoint. Including complex document creation (e.g. mail merges), complex spreadsheet creation (e.g. VLOOKUP), and presentation creation
Experience in creating reports, assessing, manipulating, and presenting data in various usable formats is essential
Experience using Workday and/ or other HR systems would be preferred
Demonstrated ability to build relationships and influence at all levels of the organization
Proven ability to drive execution while always meeting deadlines.
Must be outcome-driven and taking responsibility/accountability for tasks
Ability to produce quality work while, prioritizing multiple simultaneous deliverables and working in a fast-paced, demanding environment
